Safety Round 2021
Summary
Several good comments and actions are put forward in the report.
The Management group is responsible for giving feedback and closing all findings.
Findings
-
Door sign on the different offices, showing employees names, would be beneficial
Provide door signs for everyone
The improvement suggestion was reviewed, however a decision has been made to not go ahead and put door signs on the different offices. Internally we know who is sitting where and when bringing in customers we normally take them to a meeting room.
-
Pegs for jackets missing in all offices
Provide pegs
Pegs are bought and available in the prop room.
-
General on order and tidiness in kitchen and toilets
Inform employees on routines in kitchen and toilets
Informed employees in Townhall February
-
– No washing/routine for kitchen washcloth
– Fridges need to be cleanedDecide on routines
Fridges will be cleaned by our normal cleaning agency 4 times a year.
We also challenge employees to clean when they spill anything in the fridges or see that they are dirty. -
Some personnel find the office chairs not optimal for them
Evaluate together with employees if new chair or adjustment is required or neck support
15.03.22: E-mail sent to all employees to map needs for new chairs.
Week 12: All affected employees got help and instructions on how to adjust their chair. One also got to test a special chair. -
The sunscreens do not function optimal some places, and some offices to bright.
An auto/manual panel is required in the WIT room– Provide service/assistance from sunscreen supplier to secure that the sunscreens work optimal
– Evaluate to install indoor adjustment panel for WIT room
– Evaluate additional adjustments for those experiencing too bright conditionsSunscreens are continuously maintained. Work is ongoing to get an adjustment panel in the WIT room. There is an option to order new sunscreens for those that are experiencing too bright conditions. That will be further evaluated.
-
Some offices do not have functional sensors and system for adjusting the temperature.
Evaluate and monitor need for adjustment, especially in west part of office.
This has been looked at several times but there seems to be an issue on the West side of the office. Impression is that this has improved, but feedback is appreciated so that it can be communicated with landlord.
-
It is considered necessary to carry out an introduction/ exercise in connection with fire safety to ensure all employees know what routines apply.
Evaluate need for fire exercise in 2022
An Improvement suggestion is already existing on this issue (WE_INTERNAL/90-2021), so this is followed up there. Main reason that an exercise had not been conducted was the Covid. An unplanned event called for a fire evacuation in May where people were successfully evacuated according to plan.
-
Evaluate need for monthly test of fire alarms/system.
System is checked annually – as per requirements – by Fire department
-
If main entrance is closed/doors and emergency routes has been changed, information must be given in English.
Receptionist must make info signs in English.
This is related to an incident where a note was given in Norwegian because the door at the reception did not work. It was hard to find a way out.
This is communicated with landlord.
May: Receptionist informed and employees given information on best escape rout if main entrance is closed. -
No timer on the Mocca Master coffee machine, gives a higher risk of fire.
Buy timer for coffee machine
Timer (and new Moccamaster) will be bought in January 2023 – action transferred to safety delegate report of 2022.
-
Some challenges with segregation at kitchen bin, waste not placed in correct bin.
Missing a segregation station in printer room next to kitchen for glass, cans, coffee capsules, batteries etc.
– A waste segregation station should be considered to have in room next to kitchen with fixed dates for emptying.
– Sign in kitchen/printer room.Signs will not be put up in kitchen.
After we have started eating in the canteen again, it is much less waste in the waste bins. It is then not seen as necessary to have more waste stations. -
High workload
Further focus on workload, with work distribution and use of resource is important. Ensure that employees do not become overloaded with heavy workload over a long period.
The management team will continue focusing
Resourcing of projects are part of weekly management meetings. Resourcing meetings are held when needed.
It is also the employee’s responsibility to be in dialogue with own Line Manager on work load, and find solutions. -
Presentation from Townhalls not shared
Should be filed and shared with employees so they can update themselves if not able attend townhall meeting.
A routine for sharing townhall presentations is implemented. These are to be found at Intranet under WE Home/News and updates.
-
Miss brief after management meetings
Evaluate unformal 5 minutes “brief” after weekly management meeting.
QHSE and Finance have routines to inform in their departments. Engineering meetings are conducted on a regular basis. The monthly townhalls are also used for giving needed information. This is considered as sufficient.
If anything crucial for the employees to know, an information mail will be sent out. -
Missing social/sports club
Evaluate establishment of social/sports club
No-one has shown interest for this, but employees are challenged to organise when ideas pops up.
Some compensation can be given. -
NAV’s maximum 6G agreements, leaving some employees with payment reduction in months in parental leave
Management to evaluate parental leave agreements
It will be very costly for WE to do such an adjustment of the parental leave agreements, so we are not able to fulfil this improvement suggestion. On the other hand WE will increase the pension for all employees, initially from 2.5% to 4.5% this year
