What happened:

Slow progress, time-consuming with changes in template/process, and receiving PO’s late. Update of contracts register.

What was planned:

Issue RfQ’s, writing recommendations for approvals, and get PO to start planning/studies.

What was learned:

All parties need to be aligned prior to starting the process with an agreed procedure and templates.

What actions are required:

-Align WE procedure with DNO’s expectations
-Meeting and agreement on SPS
-Agreed template and process for RTA before starting the process
-Agreed single point of contact
-RTA to be stored and changed on Sharepoint, not on peoples Hardrive and circulated via mail
-DNO to streamline the internal approval process to avoid getting PO’s late which risks critical deliverables in the project
-• C&P strategy – a signed C&P strategy should be available within 1 month after project kick-off
• C&P plan – a detailed C&P plan with activities, timeline and responsible function should be available within 1 month after project kick-off. The C&P plan must be aligned with the overall project execution plan
• RfQ – the RfQ process should be available on the DNO Sharepoint. A separate RfQ folder is recommended, with sub-folders for all services tendered and applicable tender evaluation criteria. Communication, incl. e-mails and phone calls should be registered (the alternative is a formalised log in PIMS)
• RtA – the RtA process should be available on the DNO Sharepoint. A separate RtA folder is recommended, with sub-folders for all services tendered and applicable tender evaluation criteria. Communication, incl. e-mails and phone calls should be registered (the alternative is a formalised log in PIMS)
• Contracts register – a project specific contracts register should be available on DNO Sharepoint. The contracts register should summarise activities and be up-to-date throughout the project planning phase
